Programs Assistant Position, Holistic Management InternationalSupervisor: Programs and Grants Manager

Position DescriptionThis Programs Assistant position is a ½-time position (negotiable) focused on the management of various HMI programs and general support activities. The ideal candidate will be able to quickly take on their assigned duties in our small, highly productive, virtual office setting. We work with an international audience, although most of our programming is online or place-based in the U.S.

Job Title: Programs AssistantSalary: $16-20/hr (depending on experience) Part-time (20 hrs/week) with the potential to expand to 30 hrs/weekLocation: Albuquerque, New Mexico

Duties and Individual ResponsibilitiesPrograms Assistant reports to Programs and Grants Manager and is responsible for the following:

Program/Event Pre- and Post-Support:● Provide support for HMI online and in-person programs and events● Maintain HMI database by entering and keeping updated all event, donor, and customer information● Create & manage registration for programs and events to ensure clear communication with all participants● Get bids and order materials and shipments for events/programs● Oversee printing, preparation, and shipping of outreach and educational materials for HMI programs and events and to our partners● Record results, financials, and donations for completed events● Organize and archive educational materials and event results● Curriculum proofreading, updates, corrections, and formatting of Publisher files● Moderate/manage group listservs● Update various program spreadsheets (ie. Scholarships, event tracking) as needed● Support donor and annual appeal processes including help with mailings to the US and Canada● Support Executive Director, Programs Director, and Program Managers as needed

General Communications and Outreach:● Prepare and maintain a list of HMI programs for Production Meetings and lead/coordinate productionmeetings● Track payments and information from the annual HMI Certified Educators recertification process; prepare and mail certificates, etc. to HMI Certified Educators● Support updating of website and print listing of HMI Certified Educators● Manage product inventory; take product orders, package, and ship orders weekly● Support development efforts through recording donations and sending out thank you letters● Answer incoming calls (and/or check messages) and respond to (or forward) questions and requests forinformation● Manage office correspondence (e-mail, letters, packages, etc.)● Distribution of print journal IN PRACTICE, including maintaining subscriber list and subscribercommunications● Support budgeting and bookkeeping procedures through reports from the database● Assist colleagues whenever necessary

Required Skills & Experience● Database experience (preferably Salesforce)● Familiarity with apps/software programs such as Paypal, Eventbrite, Google Suite, Dropbox, Wordpress, Zoom, etc.● Familiarity with donor relations and nonprofit service provision preferred● Familiarity with basic office equipment like copiers● Have transportation for picking up and delivering supplies and shipping● Shipping Experience● Strong analytical, critical thinking, and problem-solving skills and creativity● Interest in ensuring clean, high-quality data systems are implemented and maintained, with the ability to pull reports and generate charts/information from the data● Transparent and high-integrity work ethic● Strong organizational abilities including planning, collaborating, program development, and task facilitation● Exacting attention to detail● Ability to handle multiple projects with calm flexibility● Ability to lift 35 pounds.● Ability to work on your own
